An abandoned ERP is rarely switched off. It just gets used less each month until the office is back on spreadsheets with an expensive login nobody opens. By the time anyone says the project failed, the decisive mistakes are eighteen months old.
We have walked into enough of these to recognise the patterns. All five are visible early, and all five are fixable if you catch them.
1. The data was never trusted
The migration brought over an outstanding-dues figure that did not match the books. Nobody reconciled it, because it was close enough and go-live was Monday. From that point every report carried an invisible asterisk, and within a term the accounts office was keeping a parallel sheet “just to be sure”.
Early sign: somebody exports to Excel before showing a number to the principal. Fix: stop and reconcile to the rupee, even months later. Nothing else matters until that is true.
2. Only half the office was ever in it
The clerk entered data; the class teachers never logged in. So attendance arrived on paper and got typed up weekly, and the attendance module showed last week’s reality. This one is very often caused by per-user pricing — the institute kept licences down to control cost, and in doing so guaranteed stale data.
Early sign: fewer than half your logins are used in a month. Fix: put everyone who touches the process in the system. If the licence model punishes you for that, the licence model is the problem.
3. It could not handle the awkward cases
It managed a plain fee beautifully and then met a half-year concession applied mid-term, a scholarship arriving after the receipt, an instalment plan renegotiated in December, a refund on withdrawal. Each exception got handled “manually, just this once” — and the manual pile became the real system.
Early sign: a register of exceptions kept outside the software. Fix: there usually isn’t one after the fact. This is why the single most important thing in a demo is to bring your own awkward cases rather than watch a clean one.
4. Training went to the wrong people
The principal and the IT person were trained. The fee clerk and the class teacher — the people who would actually use it daily — got a WhatsApp group. Adoption follows training, and training that stops at management does not reach the keyboard.
Early sign: the same two people answer every internal question. Fix: retrain at the desk, by role, and insist it is unlimited rather than a fixed number of sessions.
5. Support went quiet after the invoice cleared
The responsive implementation team handed over to a ticket queue, and a question during admission week took four days. Staff do not escalate; they just go back to the method that works.
Early sign: the office stops raising tickets — which looks like success and is the opposite. Fix: before buying, ask who answers in admission week and get a named person.
The common thread
None of these five are feature problems. Not one institute abandoned a system because a module was missing. They abandoned it because the data was wrong, or the people were not in it, or nobody picked up the phone. That is worth remembering when you are comparing brochures, because brochures only discuss the one dimension that never causes the failure.
Test for the real risk: ask a vendor what happens when the figures do not reconcile after migration, who pays for the extra work, and how long they stay on site. The answer tells you more than any demo.
How DigiERP is set up against these five
- Unlimited users on one flat annual AMC — so there is never a commercial reason to keep staff out of the system, which is what causes failure two.
- Complete historical-data migration by our own team, reconciled before go-live rather than after.
- Unlimited support and training sessions, by role and at the desk, for as long as you are with us.
- Implementation by the people who build the product — no reseller handover at the point where handovers go wrong.
- Exit on one month’s notice with a free data handover, because a vendor confident about year two does not need to lock you into it.
