Somebody on your management committee is going to ask what the institute gets for the money, and “better efficiency” is not an answer that survives that meeting. The good news is that the return on an education ERP is measurable, and you can measure most of it yourself in about a week — before you buy anything.
This is the method we suggest to institutes that ask us to justify the spend. It deliberately uses your numbers rather than ours.
The four costs an ERP actually removes
1. Staff hours on repeat data entry
Pick one week in your own office and count. How many hours go into entering the same student’s details into a second register, re-typing marks into the university format, or copying fee entries from a receipt book into a ledger? Multiply by the salary cost of the people doing it, then by 52. In most colleges this single line is larger than the annual software cost, and it is the number committees find hardest to argue with because it is their own staff and their own payroll.
2. Fee leakage and late collection
This one is usually bigger and almost always invisible. Take last year’s outstanding dues as on 31 March. Now ask how much of that would have been collected if a reminder had gone out automatically at day 7, day 15 and day 30, and if the office had been able to see class-wise dues on any given morning instead of at month end. Even a conservative recovery of a fifth of that figure usually dwarfs the AMC.
3. The admission-season crunch
Count the weeks each year when admission work stops all other work in the office. That is real capacity, and it is being spent on form handling rather than on anything the institute values.
4. Risk you are carrying without pricing it
A single resignation that takes the fee rules with it. An audit question nobody can answer quickly. A transcript request for a 2017 student that means opening a cupboard. These are hard to put a rupee figure on, so most notes leave them out — but a committee understands them immediately when they are described as risk rather than efficiency.
Build the number in five steps
- Measure one week. Hours on duplicate entry, hours answering parent queries by phone, hours assembling reports. Do not estimate — have the three people involved write it down for five days.
- Annualise it and multiply by the loaded salary cost of those staff.
- Add a conservative collection improvement — a fifth of last year’s outstanding, not all of it.
- Subtract the full software cost, and be honest about the shape of it. If the quote is per student or per user, project it three years out with your enrolment growth, not one.
- State the risk items separately, unpriced. A committee would rather see an honest “unquantified” line than an invented one.
If a vendor hands you an ROI spreadsheet with their own assumptions already filled in, treat it as marketing. The only ROI figure worth taking to a committee is one built from your own week of measurement.
Where the pricing model changes the answer
Two quotes with the same first-year figure can produce very different three-year totals. Per-student licensing rises every intake. Per-user licensing charges you for letting your own staff into the system — which quietly destroys the benefit in step one, because the way institutes save money on per-user pricing is by keeping people out, and then the data goes stale and nobody trusts the reports.
DigiERP is quoted as one flat annual AMC per institution, with unlimited students, staff and parent accounts and all modules included. That is deliberate, and it exists precisely so the ROI calculation above does not get undone in year two.
A fair warning about payback periods
An ERP does not pay back in month one. Implementation takes 1–2 weeks for a school or single college, and the habit change in the office takes a term. The honest expectation is that the staff-hours saving shows up within one academic term and the collection improvement within one fee cycle. Anyone promising faster has not done an implementation.
